QR code table restaurant setup: what changes on the floor

The useful part is not the menu on the screen. It is that the table becomes the address, so nobody has to remember who ordered the lamb.

A qr code table restaurant setup gives every table its own printed code. The customer scans the one in front of them, orders from their own phone, and the order reaches your kitchen already carrying the table number.

That last part is the whole point, and it is easy to miss. A menu code shows people the menu. A table code tells your kitchen where the food is going.

This guide covers what actually changes during service, how to get the physical code right, and the things a table code does not fix.

The table becomes the address

In a normal delivery order the address is a building and a flat. On the floor of a restaurant the address is a number on a stand.

When the code carries that number, three habits disappear at once. Nobody writes a table number on a pad. Nobody carries a plate around asking who had the grilled hammour. Nobody has to work out which of two similar orders belongs to the couple by the window.

The order is not typed by your staff, so it is not mistyped by your staff. What the customer chose is what the kitchen reads.

What changes for the floor team

The most common worry is that table ordering removes waiters. It does not. It removes one specific task and gives the time back to the rest of the job.

Staff stop being order takers and start being hosts. They greet, they recommend, they clear, they solve. In a 20 tables dining room during a busy hour, the difference is that nobody is standing at the pass repeating an order back down a phone line.

The second change is quieter. Because the customer builds the order themselves, they take their time and they read. Options and add-ons with their own prices sit in front of them, and a required choice makes sure a steak cannot be ordered without a temperature. That is more accurate than a rushed conversation, and it is usually a slightly larger order.

One bill, several phones

A table of six with one paper menu is a bottleneck. A table of six with six phones is only useful if the system can gather what they choose.

Getting the printed code right

The square is a physical object in a room with hot plates, spilled drinks and dim lighting. Treat it like one.

Leave the margin. Denso Wave, which invented the format, states that a code requires a four module wide margin on all sides. Designers who crop tight to the pattern break the scan.

Do not print it small. The same guidance walks through module size and printing resolution. If a code is under a couple of centimetres square it will fail for anyone whose eyesight or camera is less than perfect.

Use the right error correction. There are four levels. Denso Wave notes that Level M, which restores about 15 percent of a damaged code, is the one most often chosen, with a stronger level such as Q at around 25 percent used in dirtier environments. A restaurant table is a dirty environment. Grease, scratches and a wiped cloth all count.

Place it where a seated person can reach it. Not on the wall behind them, not flat under a glass. A small stand or an edge sticker works.

Laminate or replace. A card that spends six months on a table will look it. Reprinting is cheap.

Say where the wifi is. A code is only a link, so a phone with no signal cannot open the page. Put the wifi name on the same card.

What sits behind the table code

The code opens your menu, and the menu has to be worth arriving at.

Coupons carry caps, exclusions and expiry dates. Invoices carry your tax registration number as a PDF the customer downloads without logging in.

What a table code does not fix

Being honest about this saves disappointment.

It does not take payment. In Get Menu the bill is settled in cash or on your own card machine at the table, and there are no online payments, so there are no card details in the system to protect.

It does not replace service. Somebody still carries the food, checks on the table and clears it.

It does not work for a guest with no data and no wifi, which is why the wifi details belong on the card.

It does not fix a slow kitchen. If tickets already sit for twenty minutes, faster ordering only makes the queue arrive sooner.

Trying it on a few tables first

People search for this several ways round, a qr code restaurant table setup among them, and they all mean the same thing: one code per table, tied to that table. Print codes for three or four tables, watch a full service, and ask the staff what got worse as well as what got better. Then print the rest.
